ADME Bylaws 2022

ARTICLE 1 - MISSION

The Mission of the UPSOM Academy of Distinguished Medical Educators (ADME) is to:

  1. Recognize and reward excellence in medical education
  2. Advance education in the health sciences through innovation and professional development of the faculty
  3. Support and promote educational scholarship in the health sciences

 

ARTICLE 2 - STRUCTURE

  1. Organizationally, the ADME is housed under the office of the Vice Dean of the School of Medicine
  2. The ADME consists of members from the faculty of UPSOM.
  3. The operations of the ADME will be directed by the Officers and the Advisory Council
  4. Voting of ADME membership can be performed in-person at a publicized and open ADME meeting or on-line
  5. ADME members present at an ADME meeting or responding to an on-line vote shall constitute a quorum.
  6. Changes to ADME structure or bylaws requires a two-thirds vote of ADME membership quorum except for in circumstances detailed below

 

ARTICLE 3 – MEMBERSHIP

  1. Categories of membership (see description and qualifications below):
    1. Active ADME member
    2. Emeritus ADME member
  2. Qualifications and maintenance of membership:

Membership qualifications are described in detail on our membership page.

To summarize:

  1. Active ADME membership is open to full time UPSOM faculty members who have been on the faculty for at least 5 years.  They should have demonstrated in excellence in multiple aspects of medical education, which may include direct teaching, curricular design, advising and mentoring, administration and leadership, or educational research. All active ADME members, expect as designated otherwise, are eligible for the ADME stipend so long as they remain in good standing with the organization.
    1. Active ADME membership is open to volunteer and clinical faculty (VCF), with the following differences from above.
      1. VCF must have been involved in education for at least 10 years at UPSOM/UPMC
      2. VCF must have demonstrated substantive evidence in at least 2 or more of the following categories of educational activity: direct teaching, instructional development and/or curricular design, advising and mentoring, educational administration and leadership, and educational research.
      3. VCF are not eligible to receive the ADME stipend.
      4. VCF with a change in SOM faculty status can apply to the membership committee for transition to full, active ADME membership (i.e. removing the VCF prefix)
      5. ADME members who leave the University, have significant changes in their professional roles, or no longer wish to be part of the Academy will have their membership changed to Emeritus status.
      6. Members in Emeritus status are not eligible for the ADME stipend
      7. Members in Emeritus status may petition for conversion to active membership
  2. Nomination and application for membership: Any UPSOM faculty member may nominate someone for ADME membership. This includes self-nominations.

         - Procedure for nomination for membership to the ADME is detailed on our membership page.

         - Eligible nominees will be contacted by the ADME to pursue and application for  membership. Procedure for such is detailed on our membership page.

  1. Appointment:
    1. ADME appointments are for 5 years and can be renewed.
    2. Procedure for appointment to the ADME is detailed on our membership page.

 

  1. Renewal of appointment:

The requirements for renewal of ADME membership are

    1. ongoing educational productivity (defined as scholarship, teaching, and/or administration),
    2. excellence in medical education,
    3. and participation in the Academy as defined by active service on at least one of the ADME Committees.
  1. New membership categories or changes in membership criteria will be decided by a majority vote of the membership

 

ARTICLE 4 – OFFICERS AND ADVISORY COUNCIL

1.   Officers

  1. ADME officers are designated as the Past Chair, Chair, and Chair Elect. All officers will serve terms not to exceed 3 years. `
    1. Selection of officers:
      1. The Chair Elect will be elected by vote by the ADME membership from a list of nominees as prepared by the Advisory Council. Any ADME member may be referred to the Advisory Council for consideration. Members may self-refer.
        1. At this time, the prior Chair Elect will become the Chair.
        2. At this time, the prior Chair will become Past Chair
        3. At this time, the prior Past Chair will revert to ADME Member status. 
      2. If an ADME Chair leaves the University or is unable to continue in this capacity, the Chair Elect will immediately fill in as Chair, and an election by vote of the membership will be held by the ADME membership within one year to fill the empty Chair Elect position.
      3. If a Chair Elect leaves the University or is unable to continue in this capacity, an election by vote of the membership will be held within one year to fill the empty Chair Elect position.

2.   Advisory Council       

The Council will consist of the ADME Committee chairs and co-chairs.

 

ARTICLE 5- COMMITTEES

  1. Committees:

The current Committees are as follows. Activity in any of these will be considered as evidence of members’ being active in the Academy :

  1. Membership
    1. Review and update ADME membership criteria
    2. Review and update participation requirements for ongoing membership

 

    1. Medical Education Day Planning
      1. Medical Education Day is the keystone of the ADME’s academic year and brings together educators throughout the Health Sciences Center to share their educational research, teaching innovations and thoughts about medical education.  The sessions feature outside speakers, abstracts and interactive sessions developed by our own faculty.
      2. The Committee will conduct the logistical work of planning the year’s meeting.
      1. Faculty Development Committee
        1. The Committee will conduct a regular monthly series of topics related to medical education that will be delivered by outside speakers, our faculty members and selected learners with particular interest or expertise in medical education._
        2. Develop teaching workshops which can be provided to Departments/Divisions on request

 

      1. Mentoring in Medical Education
        1. Mentoring clinical educators in the clinics though observation or review of practices and student feedback 
        2. Participate in onboarding of new clinical educators 
        3. Participate in mentoring CEs in career development/promotions process.
        4. Mentoring of Course Leaders/Directors Mentoring on both Design and Execution of the Various Educational Modalities Implemented and Having Difficult Conversations with Faculty
        5. Mentoring clinical educators in development of Med Ed Scholarship and Research

 

  1. Selection of committee leadership:
      1. The Committee Co-chairs (with the exception of the Medical Education Day Planning Committee) will be appointed by the ADME officers with input from the Advisory Council at 3 year intervals for a 3 year term from active members of the respective Committee.
      2. After completing their term as co-chair, the committee co-chair will be elevated to the position of committee chair for a 3 year term
      3. A committee chair is not eligible for re-appointment as co-chair until a minimum of 3 years has elapsed from their term as chair
      4. If a committee chair or co-chair chooses not to complete their term, a new committee leader will be appointed by the ADME Officers to complete the remained of the term.
      5. The Medical Education Day Planning Committee will have the ADME Chair Elect serve as its committee chair. This committee will not have a co-chair
  2. The number and structure of the Committees can be changed by consensus of the Advisory Council.
